AI and automation for agencies

Less manual work. More time for your clients.

Tracking down project updates, keeping the same data up to date in different places, chasing approvals: we work with you to simplify the workflows that take up time every day. From the initial assessment through to implementation in your existing systems.

We work with you from the first question through to implementation.

We are Duncan and Ashok. We work with you to identify where AI and automation can be useful, what decisions are needed and what is blocking implementation. We build solutions that fit and continue to develop them with your team.

Duncan Fullarton

Marketing & business processes

Duncan spent 15 years at Ableton, most recently as Director of Marketing & Sales. His knowledge of marketing comes from doing the work, rather than advising others on it. He translates strategic goals into clear priorities and practical improvements, keeping the client's perspective in mind. With his IT background and practical experience in AI-assisted software development, he also helps build the solutions.

IT & organisational development

Ashok was Head of IT at Ableton. Before that, he spent a decade integrating systems for the postal service, cleaning equipment and operating theatre workflows in hospitals. He has been responsible for complex systems and organisational change himself. As a certified leadership and organisational coach, he helps clarify technical dependencies and how decisions are made, and works with your team to make new ways of working part of everyday practice.

With Vonnue when needed

If a project needs additional technical expertise or capacity, we bring Vonnue into our core team.

Five examples from everyday agency work.

These examples show how AI and automation can make recurring tasks easier: bringing information together, preparing for team discussions and supporting decisions. The specific solution is shaped by your workflows and systems.

01 Capacity management

Plan capacity for next week and beyond.

Paper illustration of a five-day capacity plan for three people, with three hatched cells marking an absence.
Today
Before planning can begin, the team has to cross-check project updates, logged hours, absences and new client requests. Changes mean following up with colleagues and revising plans at short notice.
With AI
Information is brought together, bottlenecks are flagged and options are prepared, taking skills, handovers and conditions that still need to be met into account. For longer-term decisions, expected project demand and utilisation scenarios are also considered.
As a team
You decide which projects take priority, what can be moved and where additional capacity is needed.

02 Project knowledge

A shared memory for your projects.

Today
The current status, past decisions and the reasons behind them are scattered across emails, chats, documents and people's memories. Whenever questions arise, teams need to coordinate or clients need an update, the team has to piece the context together again.
With AI
Project knowledge from existing sources becomes searchable, and you can ask questions about it directly. The answers help you understand what was agreed and the documented reasons behind it, and keep track of changes. Sources, open questions and contradictions remain visible.
As a team
You use the shared context to coordinate work, provide status updates and prepare briefings. You resolve contradictions with the people involved. Information is shared according to the agreed access rights and approvals.

03 Monthly billing

Prepare monthly billing with less searching, cross-checking and chasing up details.

Paper illustration of a monthly statement with highlighted extra services, two missing entries and a blue stamp.
Today
At the end of the month, time entries, client agreements and changes to the scope of work are gathered from different systems and checked against the project history. Missing entries or questions about additional work require follow-up and delay billing.
With AI
AI helps find, combine and cross-check relevant time entries, agreements and changes to the scope of work. Unresolved issues can be flagged during the month. Amounts and allowances are calculated automatically using confirmed billing rules.
As a team
You review the flagged cases, clarify how work should be allocated and resolve questions about additional work with the people involved, then approve the invoices for sending.

Start with your billing rules and a specific month-end close.

04 Client reporting

Gain more insight from your client data.

Paper illustration of a client report with seven bars, a trend line, a question mark and a magnifying glass for further analysis.
Today
Data on paid and organic activity is exported, reconciled and transferred into the client's format. This manual work takes time away from deeper analysis and exploring new questions.
With AI
Data is brought together, checked for completeness and comparability and prepared in the client's format. AI also examines patterns and differences between channels, audiences or periods. It suggests possible explanations and further analyses. Data gaps and assumptions remain visible.
As a team
You assess the results against the client's goals, add context from the campaign and test hypotheses. You then develop recommendations and agree on actions or targeted tests with the client.

The starting point is an existing client report and its data sources.

05 Editorial planning

Develop a workable editorial plan from strategy and ideas.

Today
Before planning begins, the team gathers the strategy, previous results, client requests and available material. They then have to work out how ideas, dates and production effort fit together. Changes lead to further rounds of discussion.
With AI
Using this information, AI suggests topics, creative approaches and formats. The draft editorial plan takes existing material, dates and production needs into account. You can explore client changes and see how they would affect the plan.
As a team
You assess and develop the ideas, refine the tone and messaging, and agree on the plan with the client. Then you assign responsibilities and organise production.

How we work

We develop solutions with the people who will use them, considering goals, collaboration and technology together.

  1. Understand and prioritise

We clarify your strategic goals and examine the actual workflow with the people involved. Together, we set priorities, identify conflicting goals and prepare for the decisions needed to choose a sensible starting point.

  2. Build with a clear focus

We build focused solutions ourselves and connect them to your existing systems. We consider data access, rules and exceptions from the start. Your team tests what works early on.

  3. Test in everyday work and keep improving

We use real tasks to check whether the solution meets the agreed goals. We improve it based on your experience and agree together how it will be supported, used and developed further.
